At Birmakredsen – community for the Sacred Birman breed, we take the protection of personal data seriously. This policy explains what information we may process on birmakredsen.dk, why we process it, how long it is kept, and what rights you have. Birmakredsen is a community and does not maintain a membership register.
1. Data controller
Data controller: Birmakredsen – community for the Sacred Birman breed
Contact person: Pia Thuesen
Email: piafalk79@gmail.com
2. What personal data may we process?
We only collect information that is relevant to the specific purpose. This may include your name, email address, telephone number, cattery/prefix name, website and social-media details, information used in breeder and kitten listings, order and payment information, the contents of enquiries, and technical information required for operation and security.
The pedigree database and historical material may also contain names of breeders, owners or other persons when these appear in pedigrees, stud books, show catalogues, archives or other relevant source material.
We do not ask for Danish civil registration numbers, health information or other sensitive personal data through the website's ordinary forms. Please do not submit such information unless this has been specifically agreed in advance and is necessary.
3. Purposes and legal bases
Depending on the situation, we process personal data to answer enquiries, administer breeder and kitten listings, handle orders and payments, keep necessary records, and document and communicate the history and genealogy of the Sacred Birman.
The legal basis may be performance of a contract or steps taken at your request before a contract, a legal obligation, your consent, or Birmakredsen's legitimate interest in operating the website, answering enquiries and documenting the breed's history. Where we rely on legitimate interests, we balance those interests against the rights and interests of the person concerned.
4. Contact with Birmakredsen
When you contact us by email, Facebook/Messenger or a form, we process the information you provide in order to read, answer and follow up your enquiry. If the enquiry concerns an order or agreement, the information may also be processed in order to perform that agreement.
5. Breeder and kitten listings
When you request a breeder listing or submit a litter for the kitten list, we process the information needed to verify the criteria, contact you and publish the agreed listing. This may include cattery/prefix name, name, geographical area, contact details, website, photographs and information about cats, litters and parents.
Only information relevant to the listing is published. The public listing is removed when its period expires, the kitten is no longer looking for a home, or the listing is otherwise no longer relevant.
6. Webshop, orders and MobilePay
When you place an order, we use the information you provide to process the order, contact you about delivery, document the agreement and match the order with the payment. Payment may be made via MobilePay, which processes information under its own terms and privacy policy.
Information forming part of accounting records is kept for the period required by law. As a general rule, accounting material in Denmark must be retained for five years from the end of the financial year to which it relates.
7. Pedigree database and historical material
Birmakredsen works to document the history and ancestry of the Sacred Birman. The database may contain information from official pedigrees, stud books, show catalogues, breed and club archives, books, journals, publicly available sources and material made available to Birmakredsen.
Historical sources may contain the names of breeders and owners. The GDPR generally does not apply to information about deceased persons. If an identifiable living person appears in the material, we limit the information to what is relevant to documenting the cat, breeding or historical context, and the processing must have a lawful basis.
If you believe the database contains inaccurate, unnecessary or inappropriate personal data about you, please contact us so that we can assess the information and the legal basis for the processing.
8. Hosting, security and technical logs
The website is hosted by an external hosting provider. During ordinary visits, technical information such as IP address, time, requested page, browser and device information, and technical log data may be processed. The purposes are operation, troubleshooting, security and protection against misuse. Such information is processed only to the extent necessary for technical operation and security.
9. FormSubmit and other service providers
The website's order, breeder and kitten forms use FormSubmit (Devro LABS) as a technical form relay. When you submit a form, the information entered is transmitted to FormSubmit, which forwards it to Birmakredsen's email address. FormSubmit states in its current documentation that form submissions may be retained in its archive for up to 30 days.
Personal data may also be processed by providers necessary for hosting, email, payment, security or backup. We do not sell personal data. Information is shared only where necessary for the relevant purpose, where a supplier processes it as part of a technical service, or where we are legally required to disclose it.
10. Cookies and local storage
The current website code does not include analytics or marketing cookies. The site uses browser local storage for necessary and user-initiated functionality, including remembering the selected language, webshop cart contents, and information needed to complete or confirm an ongoing order or listing submission.
Technically necessary technologies do not require the same consent as analytics or marketing technologies. If Birmakredsen later adds analytics, marketing or other non-essential technologies, they will only be activated after valid consent where consent is required.
11. Links to external services
Birmakredsen.dk may contain links to Facebook, breeders' websites and other external services. When you follow an external link, the provider's own privacy and cookie policies apply. An ordinary link does not in itself mean that the external service is embedded on Birmakredsen.dk.
12. How long do we keep information?
- General enquiries: for as long as necessary to handle and follow up the enquiry; ordinary correspondence is normally deleted or reviewed no later than 12 months after the matter is closed, unless there is a legitimate need for longer retention.
- Breeder and kitten listings: public display ends when the listing expires or is no longer relevant. Necessary administrative documentation may be kept longer where there is a legitimate or legal need.
- FormSubmit: the provider states that form submissions may remain in its archive for up to 30 days.
- Order and accounting information: for the period required by accounting and other applicable law.
- Historical and genealogical information: may be retained long term for as long as it remains relevant to documenting the history and ancestry of the breed, subject to applicable data-protection rules.
13. Your rights
Depending on the circumstances, you may have rights of access, rectification, erasure, restriction of processing, data portability and objection. Where processing is based on consent, you may withdraw that consent. These rights are not absolute, and in some situations we may be entitled or required to continue processing certain information.
You can exercise your rights by writing to piafalk79@gmail.com.
14. Complaints
If you are dissatisfied with how we process your personal data, we would like to hear from you. You also have the right to lodge a complaint with the Danish Data Protection Agency (Datatilsynet), Carl Jacobsens Vej 35, 2500 Valby, Denmark.
15. Changes
This policy is updated when the website's functions or Birmakredsen's processing of personal data changes materially. The date at the top shows when the text was last updated.
